How to Choose a Mobile Fleet Maintenance Provider: 8 Questions to Ask

Letting someone service your fleet on your property is a trust decision. The oil change is the easy part. What separates a good provider from a headache is insurance, cleanup, paperwork, and whether they show up when they say they will. Here are the questions worth asking any provider, including us.

1. What insurance do you carry?

At minimum, ask for general liability, and ask whether they carry coverage for damage to customer vehicles in their care (often called garagekeepers coverage). Ask for a certificate of insurance naming your company. Some businesses and property managers require this before anyone can work on site.

2. How do you handle used oil and spills?

Used oil and filters must be collected and recycled, never dumped or left on your lot. Ask how they catch oil during the change, what they carry for spills, and where the used oil goes. You don’t want a stain on your pavement or a problem with your landlord.

3. Do you match oil and filters to each vehicle?

The answer should be yes, based on the manufacturer’s spec for each engine. Gas and diesel engines need different oil. Using the wrong spec can cause problems with warranty claims.

4. What records do I get?

You should get a record per vehicle: date, mileage, oil and filter used, what was inspected, and when it’s due next. Records tied to the VIN make warranty claims, audits, and resale much easier.

5. Can you work around our schedule?

The point of mobile service is avoiding downtime. Ask if they’ll come early mornings, evenings, or weekends when your vehicles are parked.

6. What else can you do while you’re here?

The more a single visit covers, the fewer vendors you manage. Tires are the big one. A provider who can also check pressure, rotate, repair flats, and install new tires saves you a second appointment.

7. What happens if something’s wrong?

Ask how they report problems they find, like a leak or a worn tire, and whether they wait for your approval before doing extra work. You want a phone call or text first, not a surprise on the invoice.

8. What do other customers say?
